Getting Paid Faster Starts Before You Send the Invoice

The DSO clock starts when the invoice goes out. The wait starts the moment the work is done.

Most contractors chasing slow payment are chasing the wrong end of it. The delay that costs the most happens before anyone sends a bill. Call it the field-to-billing gap: the days between finishing a job and actually invoicing for it. A service call wrapped at 4:45 on a Friday that gets keyed in the following Thursday is nine business days old before the customer ever sees it. No collections process gets those days back. This is not a billing problem, it is a field problem, and it gets fixed on the technician's phone, not at the office desk.

It is 4:45 on a Friday. An electrician finishes a service call: four hours labor, a run of wire, a breaker. He writes it up on a paper ticket and drops it in the bin at the shop before heading home.

The ticket sits there over the weekend. Monday is busy. By the time someone in the office keys it into an invoice, it is the following Thursday, nine business days after the work was actually finished.

Nothing about that invoice is wrong. The math is right, the customer is legitimate, the job is complete. It is just nine days late before it has even been sent, and every one of those days is working capital sitting idle instead of sitting in the bank.

The Clock No One Is Watching

Days Sales Outstanding (DSO) measures the time between sending an invoice and collecting on it. For a contractor with a service division doing time and material work, the bigger leak often happens before that clock even starts: the time between finishing the job and sending the invoice at all.

At Alliance Solutions Group, we see the same pattern across our electrical contractor clients: a technician logs seven hours and $300 in materials on a ticket, and the goal is to turn that into an invoice as fast as possible, because the contractor is not waiting to get paid. They have not asked to be paid yet.

A collections team cannot fix a delay that happens before the invoice exists. That needs an operations fix, not a sharper follow-up email.

Why the Service Side Breaks First

Large progress-billed projects have a built-in billing rhythm: a schedule, a monthly cycle, a person whose job is specifically to prepare that bill.

A service call does not have that structure. It depends on a paper ticket getting from a truck to an inbox to an invoice, with every handoff a place for it to sit.

Electrical contractors in particular tend to run both realities at once: large projects like airport wiring on one side, and a service line handling calls like a break room light that will not turn on, billed on a time and material basis, on the other. The service side is smaller, faster-moving, and far more likely to lose days to a ticket that never made it out of someone's truck.

Where the Gap Actually Opens Up

  • A paper ticket that has to physically reach the office before anyone can act on it.
  • Materials that have to be reconciled against a purchase order before they can be added to the bill.
  • An invoice that waits in a queue because the person who builds it is also running payroll, ordering materials, or answering the phone.
  • A dispute that takes days to resolve because no one can quickly show the customer what backs up the charge.

Every one of those is a handoff, and every handoff is a place for a ticket to sit for a day, two days, a week.

Closing the Gap Before It Reaches Billing

The fix is not a faster invoice template. It is removing the handoffs between the field and the bill, and that means changing where the data enters the system in the first place.

Sage Field Operations puts the entry point on the technician's phone instead of the office desk. He logs labor hours and materials against the job on a mobile device before he leaves the site. He can also generate a service ticket with a predefined work description on the spot, so the documentation is already in a billable format rather than a handwritten note someone has to interpret later.

That record syncs directly into Sage Intacct, tied to the right job and contract line.Office staff are not re-entering it from a paper ticket. The billable detail is in the system, already coded, the moment the technician hits save.

That is a different fix than a faster invoice run at the end of the month. It moves the point where data enters the system from the office to the truck, so the invoice is largely built by the time the work is done.

What the Same Friday Call Looks Like Now

Run the electrician's Friday service call through Sage Field Operations instead of a paper ticket. He logs the four hours and the wire on his phone before he pulls out of the driveway. The customer signs on the same screen. The record lands in Sage Intacct that afternoon, already coded to the right job.

There is no bin at the shop, no Monday backlog, no following Thursday. Whatever the office does with the invoice next, billing was never the bottleneck.

The Bonding Conversation Starts Here

A shorter field-to-billing gap does more than help this quarter's cash position. Clean, current AR and accurate work-in-progress numbers are exactly what a surety wants to see before extending or renewing bonding capacity.

A contractor that can show fast, well-documented billing on the service side is building the same track record a surety will ask about when it is time to bond a bigger job.

Frequently Asked Questions

What is the field-to-billing gap?

It is the time between finishing a job and actually sending the invoice for it, as opposed to DSO, which only measures the time after the invoice is sent. For time and material service work, this gap is often the larger of the two.

How does Sage Field Operations help contractors invoice faster?

It lets a technician capture hours and materials on a mobile device at the job site and get the customer's sign-off on the spot, then syncs that record directly into Sage Intacct so office staff are not re-entering it from a paper ticket.

Close the Gap Before It Costs You

That ticket from Friday afternoon should not need to wait until the following Thursday to become an invoice. Alliance Solutions Group sets up Sage Intacct and Sage Field Operations so field work turns into a billable invoice as soon as it is finished, not whenever it works its way to the top of someone's desk.
